COMMUNICATION

  • Please take a few minutes to review the information below, in order to properly submit an update for your department. The Division Update highlights departmental initiatives including student events, upcoming department/staff programs, achievements & recognitions, noteworthy metrics/statistics and examples of contributions to our individual professions and/or field of student affairs. Submissions should reflect information from the previous categories listed and will be limited to 5 per department. Deadline for submission will be 1st & 3rd Wednesday of each month at 10:00am, highlights submitted after the deadline will not be included in the update. LISTSERV:

Each LISTSERV has a specific audience and messages should be distributed accordingly.

  • Distribution A and DSA All-Users require a prior approval (of two business days) from the department director and supervising Vice President.
  • Friday afternoons are not ideal times to disseminate messages.
  • “Reminder” messages are generally not sent out through DIST A or DSA All-Users.
  • Proofread! And have someone else proofread your message/announcement before it is sent out for distribution.
  • Contact Sandy Barrett, sbarrett@vpsa.tamu.edu for distribution of items. Cindy Smith, csmith@vpsa.tamu.edu and  Stacy Wright, stacyw@vpsa.tamu.edu can also assist with distribution.

Distribution A– Is designed for the distribution of various communications to administrators, staff, and faculty of Texas A&M University. There are approximately 2,000 subscribers.

      • Individuals may sign up on an “as-desired” basis by completing the request form online at http://dist-a.tamu.edu/signup.php.
      • Most information that is distributed through Distribution A from the Division of Student Affairs is categorized as an event announcement/invitation, workshop/seminar, or general information.
      • Keep in mind that messages may be included in the TAMUtimes (Tuesday/Friday newsletter)

DSA All-Users– Is designed for the distribution of various communications to DSA staff only.

      • The messages should be formatted similar to the following:

Letterheads:

  • Make sure to use an electronic letterhead that resembles the one available at:http://brandguide.tamu.edu/electronic-templates.html.
  • You can download a word doc, adobe illustrator file, or inDesign file and edit the letterhead with your department name and information. If the letterhead does not look like that template available, it should not be used.

Email

  • All messages are subject to open records requests.
  • Make sure to set “out of office” replies when necessary.
  • Per brandguide.tamu.edu:  Email from a “tamu.edu” address is considered official university correspondence. Personal quotes, logos or icons are not permitted in email signatures. Confidentiality statements are superfluous, as any correspondence from a tamu.edu address is subject to open record requests. Limit use of university or college taglines to one and hyperlink TAMU website addresses.
